The health and safety plan is the contractor’s documented approach to managing safety on a specific project. It outlines how the contractor will address the risks identified in the client’s safety specification, including organisational structure, risk management procedures, and emergency arrangements. The safety file is the broader collection of all safety-related documentation for the project, including the plan itself, risk assessments, safe work procedures, appointment letters, training records, inspection reports, and incident records. The safety file must be kept on site and handed over to the client upon project completion. Pro Safety compiles and maintains both documents as part of our standard construction safety service.

The Construction Regulations require that specific construction safety roles, such as Construction Health and Safety Manager and Construction Health and Safety Agent, be filled by persons registered with SACPCMP in the appropriate category. If your project meets certain thresholds or your client requires it, you are legally obligated to appoint SACPCMP-registered professionals. Even where not strictly mandated, appointing registered professionals demonstrates due diligence and significantly strengthens your legal position in the event of an incident. For existing clients, we can typically have a project-specific safety file compiled and ready within a few working days because we already have your company’s baseline documentation, risk profiles, and safety management systems on file. For new clients, the initial setup takes longer as we need to conduct a baseline assessment and establish your company’s core OHS framework first. In urgent situations, such as a project awarded at short notice, we have the capacity to fast-track the process. Our centralised admin team and established templates mean we can mobilise significantly faster than a sole practitioner.
